Purpose Statement
The job of Clerical Support II / Guidance Clerk is done for the purpose / s of providing clerical support to the
Guidance department; communicating information to students, parents, staff, and / or other districts;
maintaining student information and files; and providing information and / or direction as may be
requested.
Functions
Assists in the preparation of a wide variety of fiscal and statistical reports for the purpose of conveying
information, ensuring compliance and / or achieving program objectives.
Assists other personnel for the purpose of supporting them in the completion of their work activities.
Maintains records and / or files for the purpose of ensuring an up-to-date reference and audit trail for
compliance.
Prepares written materials (e.g. correspondence, memos, schedules, etc.) for the purpose of conveying
information, documenting activities, and / or ensuring compliance.
Processes documents and materials for the purpose of disseminating information to appropriate parties
and / or ensuring accuracy of data.
Responds to inquiries of staff, the public, parents and / or students (e.g. scheduling appointments,
providing information on school policies and procedures, etc.) for the purpose of providing information
and / or direction as may be required.
Schedules appointments for the purpose of ensuring that program objectives are achieved in an
efficient manner.
Supports assigned administrative personnel for the purpose of providing assistance with their
administrative functions.

Skills, Knowledge and Abilities
SKILLS are required to perform multiple, non-technical tasks with a need to occasionally upgrade skills
in order to meet changing job conditions. Specific skills required to satisfactorily perform the functions
of the job include : operating standard office equipment including pertinent software applications; and
preparing and maintaining accurate records.
KNOWLEDGE is required to perform basic math, including calculations using fractions, percents, and / or
ratios; read a variety of manuals, write documents following prescribed formats, and / or present
information to others; and understand complex, multi-step written and oral instructions. Specific
knowledge required to satisfactorily perform the functions of the job includes : business telephone
etiquette; common office machines and software; and office methods and practices
ABILITY is required to schedule activities, meetings, and / or events; gather, collate, and / or classify
data; and use basic, job-related equipment. Flexibility is required to independently work with others in
a wide variety of circumstances; analyze data utilizing defined but different processes; and operate
equipment using defined methods. Ability is also required to work with a diversity of individuals and / or
groups; work with a variety of data; and utilize specific, job-related equipment. In working with others,
problem solving is required to identify issues and create action plans. Problem solving with data
requires independent interpretation of guidelines; and problem solving with equipment is limited.
Specific abilities required to satisfactorily perform the functions of the job include : communicating with
diverse groups; meeting deadlines and schedules; working with detailed information / data; working as
part of a team.
Responsibility
Responsibilities include : working under limited supervision following standardized practices and / or
methods; providing information and / or advising others; and operating within a defined budget.
Utilization of some resources from other work units may be required to perform the job's functions.

Working Environment
The usual and customary methods of performing the job's functions require the following physical
demands : some lifting, carrying, pushing, and / or pulling; some stooping, kneeling, crouching, and / or
crawling; and significant fine finger dexterity. Generally the job requires 70% sitting, 10% walking, and
20% standing. The job is performed under some hazardous conditions.
Education : High School diploma or equivalent.
Experience : Job related experience is required.
